  • Oversee and advise all Board Members and Committee Chairs

  • Provide strategic direction for the organization

  • Build relationships in the broader LGBT and rowing community

  • Create the agenda for and preside over monthly board meetings

  • Receive all mailings and written communications to the organization

  • Oversee rowing programs

  • Lead new coach searches

  • Be the point of contact for US Rowing

Secretary

Two-Year Term

(2020-2022)

  • Keep written record of each board meetings’ date, time, location and minutes

  • Plan monthly board meeting dates and locations

  • Create and maintain CRU’s public calendar of events

  • Coordinate team uniform and apparel orders

  • Manage the storage of all documents (waivers, code of conduct, legal documents, forms, letterhead, etc.)

  • Monitor and respond to emails to the general inbox (chicagorowingunion@gmail.com)

  • Uphold and support the mission of the team

  • Commit to meeting self-established Give/Get goal

  • Attend monthly board meetings

  • Suggested skills and qualities: Ability to respond promptly to emails, good written communication skills, and highly organized


Treasurer

Two-Year Term

(2018-2020)

  • Perform all bookkeeping for the organization

  • Prepare the annual budget, with the assistance of VP Operations, Membership, and Marketing Chairs

  • Write checks, make bank deposits, and pay bills for the organization.

  • Prepare monthly financial statements and budget reports for the board to review

  • Prepare or oversee the preparation of annual financial reporting and tax filings

  • Uphold and support the mission of the team

  • Commit to meeting self-established Give/Get goal

  • Attend monthly board meetings

  • Suggested skills and qualities include: Experience in accounting or finance, ability to stay organized, ability to learn online systems quickly, respond promptly to email, and work closely with other members of the Board on all aspects of the organization’s finances


Fundraising Director

One-Year Term

(2020-2022)

  • Convene and oversee a group of members who will serve as the fundraising committee to execute the listed responsibilities

  • Plan and manage all annual fundraising events

  • Develop and distribute ask letter templates

  • Prepare and send thank you letters to sponsors

  • Prepare and send tax letters to donors

  • Monitor and respond to emails to the Donations inbox (donations@chicagorowingunion.org)

  • Develop/update and distribute sponsorship packets to membership

  • Seek sponsorships from community organizations, corporations, and individuals

  • Update the Fundraising page on the team website

  • Uphold and support the mission of the team

  • Commit to meeting self-established Give/Get goal

  • Attend monthly board meetings

  • Suggested skills and qualities: Personable and good oral and written communication skills, ability and interest in engaging members to fundraise, ability and interest in creating community relationships with potential sponsors, ability to work well with others and can responsibly delegate and stick to deadline


Marketing & Media Director

Two-Year Term

(2020-2022)

  • Oversee the Design Coordinator and ensure the boards’ vision is communicated and mock-ups are on target

  • Convene and oversee a group of members who will serve as the Marketing and Media committee to execute the listed responsibilities

  • Develop and execute a marketing strategy for the organization to drive membership growth in collaboration with the Recruiting Director

  • Public relations

  • Develop and maintain press and media contacts and coordinate with contacts for press releases and news/stories

  • Work with the Design Coordinator and vendors to create marketing materials for fundraising events, learn-to-row, and general recruitment

  • Develop/update and distribute sponsorship packets to membership

  • Manage the development and maintenance of the team website

  • Manage social media channels (Twitter, Instagram, and Facebook page)

  • Back-end planning: ad-buys (on social media)

  • Uphold and support the mission of the team

  • Commit to meeting self-established Give/Get goal

  • Attend monthly board meetings

  • Suggested skills and qualities: Personable and good oral and written communication skills, ability to stay organized and multi-task, capable of working within a budget, ability to stick to deadlines, ability to assess effectiveness of ad campaigns


Equipment Director

Two-Year Term

(2018-2020)

  • Work with the Equipment Manager to coordinate purchase of equipment and supplies

  • Manage the capital acquisition plan (coordinate with coaches, Equipment Manager, and board)

  • Facilitate regatta registration for members

  • Obtain regatta line-ups with coaches and submit entries for regattas (typically on regattacentral.com)

  • Arrange for rental and transport of all equipment needed for regattas

  • Commit to meeting self-established Give/Get goal

  • Uphold and support the mission of the team

  • Attend monthly board meetings

  • Suggested skills and qualities: Personable and strong organizational skills, ability to multi-task, capable of developing a network in the rowing community, ability to work productively under pressure in an unstructured environment with frequent interruptions

  • Works under the oversight of the Marketing Director

  • Create strategy and opportunities for membership growth and recruitment

  • Convene and oversee a group of members who will serve as the Recruiting Committee to execute the listed responsibilities

  • Develop and execute a recruitment strategy for the organization in collaboration with the Marketing and Media Director

  • Engage with community partners and attend recruitment events

  • Uphold and support the mission of the team


Membership Chair

Two-Year Term

(2018-2020)

  • Lead the Membership Council (includes captains from each program and coxswain captain)

  • Plan and lead all Membership Council meetings

  • Assist with membership recruitment activities

  • Monitor and respond to emails to the Membership inbox (membership@chicagorowingunion.org)

  • Write and distribute the post-season membership survey; present results to board

  • Uphold and support the mission of the team


Membership Council

One-Year Term

  • Promote inclusion for all CRU members

  • Review, revise, and enforce the Member Code of Conduct

  • Organize recruitment/election of captains and other Membership Council members

  • Update and distribute membership handbook

  • Ensure waivers and code of conduct are signed by all members

  • Discuss and resolve inter- and intra-program membership issues

  • Plan social/team-building events, including pre-season (de-winterizing) and post-season (winterizing, awards) events

  • Organize food, beverages, and tents at regattas

  • Uphold and support the mission of the team

  • Nominations for MC are not sought as the positions will be filled with program captains, and members who would like to be more involved with the running and organization of the club


Equipment Chair

  • Develop a team of equipment managers

  • Repair boats and oars

  • Coordinate maintenance and repair of motors

  • Order parts and materials

  • Provide input to capital acquisition plan

Outreach Chair

  • Plan charity involvement

  • Develop a network of LGBTQ+ organizations we can partner with

Design Coordinator Chair

Two-Year Term

  • Work under the direction of the Marketing & Media Director

  • Develop mock-ups of all marketing materials per the parameters set by the board

  • Creation of graphics, print collateral, fliers, videos, and other media for use in promotion or branding

  • Work closely with Recruiting Director to develop strategy for membership growth

  • Create marketing materials for fundraising events, learn-to-row, and general recruitment


Volunteer Coordinator Chair

Two-Year Term

2020-2022

  • Responsible for actively recruiting and managing volunteers

  • Coordinate and schedule volunteers on an ongoing basis

  • Maintain communication with existing volunteers

  • Ensure volunteers feel appreciated and are kept informed

  • Provides direction, coordination, and consultation for all volunteer functions

  • Develop “Volunteer Service Descriptions” for each volunteer assignment

  • Maintain a record of members volunteer hours to ensure all members are fulfilling their volunteer obligation

  • Must be personable and friendly, and have strong communication, management, organization, and planning skills
